The Challenge
Recruitment processes often rely on disconnected systems, manual follow-ups, static forms, spreadsheets, email communication, and repetitive administrative tasks.
The System was designed to bring these processes together into one highly customizable platform where recruitment teams can build workflows that match their own hiring processes rather than adapting their processes to rigid software.
The Solution
I designed and developed this System as a flexible recruitment and applicant management platform with customizable workflows, dynamic forms, automation, document processing, integrations, and candidate-facing experiences.
Some parts of the system are inspired by Zoho, but I made it more graphical and user friendly.
Instead of enforcing a fixed recruitment process, the System allows organizations to configure stages, steps, forms, fields, tasks, communications, and automated actions around their own hiring workflows.

Customizable Recruitment Workflows
Create interactive recruitment workflows with configurable stages and steps for different jobs and hiring processes.
Workflow actions can automatically update applicants, change application statuses, assign tasks, trigger communications, and interact with external systems.
Dynamic Forms & Custom Fields
Recruitment teams can create customized forms for collecting different types of applicant information. Forms, fields, and views can be configured depending on the job, workflow stage, or information being collected, allowing different recruitment processes to have completely different candidate experiences.
You can prompt these forms via questionnaires or form requirements and can be placed prior to clicking apply, registration, anywhere within the Job workflow stages, and on application completion (via survey).
Recruitment Automation
Workflow-driven automation reduces repetitive administrative work through:
- Automated candidate emails, offers, consents, and scheduling
- Application status updates
- Applicant record updates
- Task creation and assignment
- API actions
- Workflow-triggered processes
Digital Documents & Signatures
The System includes a PDF-based document system for employment offers, consent forms, and other candidate documents.
Candidates can complete required information and electronically add their signatures directly through the recruitment process.
Resume Parsing and Custom Fields
Uploaded resumes can be parsed to extract candidate information and reduce manual data entry.
The System also allows different kinds of fields for the Job Posts and for the Candidates Profile.
Guided Candidate Experience and Custom Flows
A step-by-step application experience guides candidates through required information instead of presenting them with one large, complicated application form.
Recruitment teams can determine which forms and information are required at different points in the process.
API & Webhook Integrations
The System supports both incoming and outgoing integrations through APIs and webhooks, allowing applicant and recruitment data to move between the System and external business systems.
These can be via workflow automation, manual button and post operations.
Interview and Application Management
Interview functionality helps recruitment teams coordinate candidate interviews as part of the configured hiring workflow.
You can also get input or manual intervention from the recruiter via the workflow decision item. Decisions and options that can decide the flow of the application and a way of collecting information.
Employee Referral Management
Built-in referral functionality allows referred candidates to become part of the same recruitment and workflow process.
It can also pre-compute bonuses and can be integrated on payroll for the referrers bonuses.
Cloud Infrastructure
Deployed on AWS using a distributed application architecture, with the frontend application and Directus backend operating as separate services. Docker provides containerized deployment, while Directus serves as the backend data and API layer supporting the platform’s applications, integrations, and automated workflows.
